Your first month in the client workspace: register, renewals, payroll, approval

4 min read · Updated

1. Sign in and create the company

Open thabethr.com/app/login, create an account with your work email and confirm it from your inbox. Enter the company name, its main activity (this sets your Nitaqat band) and team size. Colleagues are invited later from Settings, as editors or view-only.

2. Load the employee register

Download the CSV template from the Employees page, fill it in Excel (name, nationality, job, hire date, contract type, basic, housing, transport, other allowances, GOSI category) and import it. Arabic headers and Arabic digits are understood. Or add people one by one. Mark Saudis and any Nitaqat special category so the Saudization position is right.

3. Add the expiry dates

On the Renewals page add each Iqama, work permit, Baladiya card, insurance and contract with its expiry date, plus the company's own documents (CR, municipality licence, Chamber subscription). The page shows what is expired, what is due within 30 and 60 days, and a 12-month calendar. When you renew, press "Renewed" and enter the new date; the old one stays as history.

4. By day 20: enter the month

Open Payroll, this month. For each employee with a change press Inputs: overtime hours, absence days, late hours, unpaid leave, sick days, a loan instalment, a bonus. Leave everyone else blank. New joiners and leavers come from the register (hire date, last day) and are pro-rated automatically. Press "Send to Mohamed".

5. Within two working days: review and approval

The workspace has already calculated every statement with the Labor Law's limits (fines at most five days' wage, loans 10% without consent, half the wage in total) and the GOSI changes. Mohamed checks them line by line and marks the month reviewed; you get an email. Open the month, read his note, press Approve. Only then do the pay slips, the GOSI change list, the bank sheet and the monthly report print.

6. Pay, file, close

Pay through your bank from the bank sheet (or your accountant does), file the GOSI changes on gosi.gov.sa (or your PRO does), hand each employee with a deduction the printed pay slip, then press "Mark as paid". Anything that comes up in between, an absence, a complaint, a resignation, goes in as a case: you get the lawful step at once and Mohamed replies within one business day.
